Because our services involve dedicated time, strategy, research, creative resources, and project-specific work, refunds are handled according to the terms outlined below.
1. General Refund Eligibility
Refund requests must be submitted in writing and will be reviewed based on the status and progress of the project.
Where a project is completed through defined stages or milestones, a client may be eligible for a
pro-rata refund for the portion of services that has not yet been started or delivered.
Any refund eligibility will be determined after deducting:
- The value of work already completed or in progress
- Time and resources already allocated to the project
- Completed project milestones
- Approved or delivered drafts, concepts, designs, strategies, or other deliverables
- Non-refundable third-party expenses or platform fees
- Any other costs already incurred specifically for the client’s project
2. Cancellation Before Work Begins
If a client requests cancellation
before any work has commenced and before resources have been allocated, the request may be considered for a refund, less any applicable administrative, consultation, transaction, or third-party charges already incurred.
Once project work, research, strategy, onboarding, planning, creative development, or resource allocation has begun, the completed or initiated portion of the service becomes non-refundable.
3. Milestone-Based Projects
For projects delivered in phases or milestones, payments associated with:
- Completed milestones
- Milestones currently in progress
- Work already reviewed or approved by the client
- Deliverables already created or supplied
are non-refundable.
Where applicable, the client may be eligible for a
pro-rata refund of amounts attributable solely to future, unstarted milestones.
4. Non-Refundable Services and Costs
The following are generally non-refundable once initiated, purchased, booked, or delivered:
- Consultations and strategy sessions
- Content creation and copywriting
- Branding and creative strategy
- Graphic design and design concepts
- Website design or development work
- Marketing strategy and campaign preparation
- Social media content and management
- Advertising setup or campaign management
- Research and planning services
- Custom creative work
- Approved project milestones
- Third-party software, tools, subscriptions, media placements, or platform charges
- Advertising spend
- Domain, hosting, licensing, printing, or external vendor costs
- Rush fees or expedited service charges
Third-party fees are subject to the refund policies of the applicable provider and may not be recoverable by The Rosewood Media.
5. Client Delays, Inactivity, or Change of Mind
Refunds will not be issued solely because a client:
- Changes their mind after work has begun
- Decides not to use completed or delivered work
- Fails to provide required information, content, feedback, approvals, or access
- Delays the project
- Becomes unresponsive
- Changes business direction, preferences, or internal priorities
- Requests changes outside the originally agreed scope of work
Client-requested changes outside the agreed scope may require additional fees.
6. Revisions and Service Concerns
If a client is dissatisfied with a deliverable, they should first contact The Rosewood Media and provide clear details regarding the concern.
Where revisions are included within the agreed scope of services, we will make reasonable efforts to address the issue in accordance with the applicable project agreement, proposal, or service scope.
A request for revision does not automatically qualify a project for a refund.
7. Marketing and Performance-Based Services
The Rosewood Media does not guarantee specific commercial outcomes, including but not limited to:
- Sales
- Revenue
- Leads
- Traffic
- Engagement
- Followers
- Search engine rankings
- Media coverage
- Conversions
- Return on advertising spend
Marketing and digital performance may depend on factors outside our control. Dissatisfaction with campaign results alone does not constitute grounds for a refund where the agreed services have been performed.
8. Duplicate or Incorrect Payments
If a client believes they have been charged more than once for the same payment or that a billing error has occurred, they should contact us promptly.
Verified duplicate or incorrect charges will be reviewed and, where appropriate, corrected or refunded.
9. Refund Request Process
To request a refund, the client must contact The Rosewood Media in writing and provide:
- Full name
- Email address used for the purchase
- Relevant invoice or transaction details
- Service or project name
- Reason for the refund request
Submitting a refund request does not automatically guarantee approval. Each request will be reviewed based on the agreed scope of work, project progress, completed milestones, delivered services, and costs already incurred.
10. Approved Refunds
Where a refund is approved:
- The refundable amount will be calculated after deducting completed work, initiated milestones, allocated resources, third-party costs, and other applicable non-refundable expenses
- Refunds will generally be issued to the original payment method where reasonably possible
- Processing times may vary depending on the payment provider or financial institution
11. Chargebacks and Payment Disputes
Clients are encouraged to contact The Rosewood Media directly before initiating a payment dispute or chargeback so that concerns can be reviewed and addressed in good faith.
The Rosewood Media reserves the right to provide relevant agreements, invoices, project communications, approvals, work records, and proof of delivered services to payment processors or financial institutions in response to any payment dispute.
12. Project-Specific Agreements
Where a signed contract, proposal, order form, statement of work, or written service agreement contains refund or cancellation terms specific to a project, those project-specific terms will take precedence in the event of a conflict with this general Refund Policy.
13. Policy Updates
The Rosewood Media reserves the right to update or modify this Refund Policy from time to time. Any changes will become effective when published on our website.
